Effective: October 13, 2026
These Terms are an agreement between you (the practice or clinician using Alcove) and Alfaaz, LLC d/b/a Alcove ("Alcove", "we", "us"). They cover the Alcove Chrome extension (the "Extension") and the web application at app.alcove.health (the "Service"). By creating an account or using the Service, you agree to them. If you use Alcove on behalf of a practice, you confirm you have authority to bind that practice.
Questions about these Terms: legal@alcove.health.
Alcove listens to a clinical encounter you choose to record, turns the audio into a transcript, and drafts a clinical note for you to review. The Extension can place that note into your EHR. How we handle that information is set out in our Privacy Policy, our Security page and the Business Associate Agreement, which are not repeated here.
Alcove drafts. You decide. The AI-generated note is a draft only. The clinician must review every note, correct it, and decide what goes into the patient's chart. The clinician who signs a note is responsible for its content, for clinical decisions, and for billing and coding choices, whether or not Alcove suggested them.
You are responsible for telling patients about recording and getting any consent the law requires where you and the patient are located, as described in our Privacy Policy. Do not record an encounter if the consent that applies to it has not been obtained.
You agree not to:
Current plans, included usage and prices are listed on our pricing section. That page is the source of truth, and we do not restate the numbers here. Card payments are processed by Stripe.
You keep ownership of the content you put into Alcove, including audio, transcripts and the notes you sign. You give us permission to process that content only to run the Service for you, as described in the Privacy Policy and the BAA. We do not sell it.
What happens to your data when your account ends is described in the Data Retention and Deletion section of the Privacy Policy.
Alcove, its software, design and name belong to Alfaaz, LLC. These Terms give you a limited right to use the Service while your account is active. They do not transfer any ownership to you.
We work to keep the Service running but do not promise it will always be available or error free. We may change or retire features. We offer no uptime guarantee or service credits. Support is by email on a best-effort basis.
You may stop using Alcove at any time. We may suspend or end your access if you break these Terms, put patients or the Service at risk, or do not pay. Where we reasonably can, we will tell you first. For non-urgent reasons we will give you at least 14 days' notice by email. We may suspend access immediately, without notice, where needed to protect patients, the security of the Service, or to follow the law. What happens to PHI when the relationship ends is set out in the BAA and the Privacy Policy.
The Service is provided "as is" and "as available". To the extent the law allows, we do not make promises about accuracy, fitness for a particular purpose, or uninterrupted operation.
To the extent the law allows, Alcove is not liable for indirect or consequential losses, and our total liability for claims about the Service is limited to the fees you paid us for the Service in the 12 months before the event that caused the claim, or $100 if that is greater. This limit does not change what the BAA says about PHI, and the BAA controls on that subject. Nothing in these Terms limits liability that the law does not allow to be limited.
Indemnity: you will cover Alcove for third-party claims that come from your use of the Service in breach of these Terms, from recording without the consent the law requires, or from clinical decisions you make. This does not apply to the extent Alcove caused the claim. Alcove does not take on a general indemnity under these Terms.
These Terms are governed by the laws of the Commonwealth of Virginia, without regard to its conflict-of-laws rules, the same law that governs the BAA. Disputes will be heard in the state or federal courts located in Virginia, and you and Alcove agree to those courts. There is no arbitration. Please email legal@alcove.health first so we can try to settle it.
We may update these Terms. For material changes we will email the address on your account at least 30 days before the change takes effect. If you do not agree, you can cancel before then. If you keep using the Service after a change takes effect, you accept the new Terms.
